Feature in Focus: Keep Your Inventory under Control with PMXpert

Is your inventory disorganized and out of control? Do you have way too many of one item, but are always scrambling to buy another at the last minute? You should be keeping track of your inventory – it is an extremely important part of running a good business. By recording suppliers’ past prices, you can purchase more efficiently and avoid excess price increases. Your inventory items will always be current, and won’t go to waste. If you need help organizing your inventory, PMXpert has the tools you need.

First, ensure that all of your inventory items are entered in the Inventory screen, and if they are not, add them now. You don’t need to add a quantity or cost just yet. When all the items are recorded, print the “Inventory Worksheet” report, a handy chart listing all of your inventory items with blank spaces for Stock and Cost. Now, head out to the shelves and count up your inventory, recording the last cost for each. NOTE: You should either do a stock count on a day when no one will be accessing the inventory, or only do a small batch of items at a time when they won’t be used. Otherwise, you risk having your count becoming inaccurate before you have a chance to enter it in PMXpert.
When you’re done, return to the Inventory screen and click on the Adjustments tab. If this is the first time you have ever created your inventory, you will create an Initial Adjustment. If this is not the first adjustment, you will create a Stock and/or Cost Adjustment. Retrieve the inventory you want to adjust, and enter the correct numbers. After you post the numbers, your inventory for the selected parts/fluids will be set. For more detailed instructions about adjusting your inventory, carefully review Chapter 4: Inventory in the PMXpert User Manual.

Helpful Hint: Keep Asset Meters Updated

Keeping your Asset Meters up-to-date is an important part of effective preventive maintenance. Accurate meter readings will help you determine the usage of the asset, and will also ensure that services are scheduled correctly.

PMXpert records asset meters in several ways. First, when you close a Work Order Service, you will typically enter the date and meter of the asset when the service was performed. Second, when you enter a Cost Record, you will also enter the date and meter at the time the cost is incurred. In these situations, PMXpert will automatically update the asset’s meter as you record service performance and cost entries.
However, if you want to keep track of meter readings between servicing and costing occurrences, to ensure an even more accurate record of asset usage, you can manually enter the meter readings in the Assets or Meter Update screen. In the Assets screen, you can update the meter for the one asset you are viewing. Under the History tab in the lower section of the Assets screen, click on the Meter sub-tab and click the New button to the right. In the Meter Update screen, you can update a meter reading for one asset or update a batch of meter readings for several assets at once. You simply enter the numbers directly into the grid and post the new readings.

Did You Know? Assign New Responsible People in the PM Schedule

Did You Know… that you can now re-assign the people responsible for completing maintenance tasks in the PM Schedule screen? All it takes is a simple click of the mouse.

Go to the PM Schedule screen and locate the service task you want to re-assign. Remember that you may have to move ahead in the calendar or unselect the “Show Services Scheduled on This Date Only” option to see the service. Click on the field under the Responsible or Second Responsible column to open a drop-down list of contacts that are categorized as “Labor” in your Address Book. Select the new Responsible person or Second Responsible person. That’s all you need to do. The service is now re-assigned.
If you are not already using the PM Schedule to keep your asset servicing on track, you are missing out on a great feature in PMXpert. To download the newest Software Update, log in to the PMXpert Support Website. Click on the Downloads tab and click on the PMXpert Install V10.7 (10.7.0.360) link.

Software Updates are only available to customers with a current Upgrade Protection Plan.
