Happy New Year! The Year 2009 was a productive year for enhancing PMXpert Software. At the beginning of the year, you were introduced to the newly redesigned and reorganized PMXpert Website. Throughout the rest of the year, software development continued as usual, with two major updates released approximately six months apart. These releases incorporated many exciting new and enhanced features into the software. Areas updated include the PM Schedule, Assets, Work Orders, Purchase Orders and Inventory, to name a few.

Feature in Focus: Keep Your Inventory under Control with PMXpert |

| Is your inventory disorganized and out of control? Do you have way too many of one item, but are always scrambling to buy another at the last minute? You should be keeping track of your inventory – it is an extremely important part of running a good business. By recording suppliers’ past prices, you can purchase more efficiently and avoid excess price increases. Your inventory items will always be current, and won’t go to waste. If you need help organizing your inventory, PMXpert has the tools you need.

First, ensure that all of your inventory items are entered in the Inventory screen, and if they are not, add them now. You don’t need to add a quantity or cost just yet. When all the items are recorded, print the “Inventory Worksheet” report, a handy chart listing all of your inventory items with blank spaces for Stock and Cost. Now, head out to the shelves and count up your inventory, recording the last cost for each. NOTE: You should either do a stock count on a day when no one will be accessing the inventory, or only do a small batch of items at a time when they won’t be used. Otherwise, you risk having your count becoming inaccurate before you have a chance to enter it in PMXpert. |
When you’re done, return to the Inventory screen and click on the Adjustments tab. If this is the first time you have ever created your inventory, you will create an Initial Adjustment. If this is not the first adjustment, you will create a Stock and/or Cost Adjustment. Retrieve the inventory you want to adjust, and enter the correct numbers. After you post the numbers, your inventory for the selected parts/fluids will be set. For more detailed instructions about adjusting your inventory, carefully review Chapter 4: Inventory in the PMXpert User Manual. |

Helpful Hint: Back Up Your Data |

Hard drive crash, power outage, power surge, virus attacks, hackers, natural disaster, theft, human error – there are so many ways your company can lose critical data! Data loss can result in days of recovery time and lost productivity, and yet data backup is still one of the most neglected areas of computer maintenance.
|
How often should you back up your PMXpert data files? Ask yourself how many days of data entry you are willing to lose. No more than one day? Then you should back up your data at least once a day. It does not have to be a time-consuming hassle. Once you have your backup schedule set and backup media arranged, it will become a brief, easy task in your daily routine. Did You Know? Asset Templates Save Time |

| Did You Know… that Asset Templates can help you to reduce data entry and save time if you need to enter many similar pieces of equipment into PMXpert? For example, say you have acquired 20 identical or similar trucks for your company. Instead of painstakingly re-entering the same information twenty times, you can create one template that includes the standard Meter Type, Services, Procedures, Part/Fluid List and Attachments for all of the trucks. When you add the trucks using the template, you will only need to edit a few unique details for each asset, such as the Serial Number. |
You can create a completely new template in the Asset Template screen, accessed by clicking Setup | Asset Templates in PMXpert’s main menu. You can also use an existing piece of equipment as a template. Find the asset in the Assets screen and select Asset | Save to Template. For more information, refer to the PMXpert User Manual at Chapter 2: Assets, Asset Templates. |
